BUILDING BLOCKS: PDF Creation software

In this new series of articles, I am doing something I don't think has ever
been done before. The goal of the series is to feature some products and
services that would help an author in self-publishing a book. Instead of
just writing a laundry list of generic steps, I thought it would be helpful
if each step was detailed enough to see why certain recommendations were
made. To make this practical however, I personally felt it was necessary to
actually perform the steps myself and document my progress.
Certain decisions have already been made for the purposes of this series. I
plan to describe how an author can take advantage of a print-on-demand
service to self-publish a book. The same steps can easily be applied if you
choose to prepare a manuscript for submission to a publisher, printer, etc.
For most POD services, the primary requirement is that you have a manuscript
ready to present to them. Most are flexible as to how they'll accept it.
The trick is in knowing how they will in turn be setting up your document to
be printed. The closer you come to their requirements, the less chance for
introduction of errors into the final galley.
In many cases, they will either strongly suggest, or flat out require, that
you submit your manuscript as a PDF file. I decided therefore to make this
the topic of my first article because having a file ready to send out,
regardless of your publisher, can save you some time. There may still be
specific differences between services, but if you have a tool at your
disposal for generating PDF files, you'll be a big step ahead of the game.
So, what is a PDF file and why is it becoming the standard for manuscript
submissions? About ten years ago, Adobe software created a new Portable
Document Format for files that could be created from any application and read
by anyone without having to have that same application. Only a free Adobe
Reader program is needed to open and print a PDF file. PDF files maintain
the exact fonts, graphics, and layout of the original files. This makes them
the perfect format for sending someone a document and guaranteeing it will
print out on someone else's computer exactly as you intended. It therefore
is the de facto standard that publishers use today for creating and printing
manuscripts.
Time was though, that only by purchasing Adobe's Acrobat software could you
generate a PDF. The $299.00 price tag was great for businesses but
prohibitive for the average consumer. An author who wanted to publish their
book on their own did not have much choice if they wanted to send their
manuscript in. At first then, many POD publishers allowed files to be
submitted in standard word processor formats, like MS Word or WordPerfect.
However, in turn they charged more money in order to do the conversion and
make layout corrections.
Nowadays, thanks to the popularity and standardizing of the PDF format, some
companies have been successful in creating "print drivers" for Windows that
will allow you to print from any application to a PDF file. The good news
for us is that most of them are shareware or even free to use. Now we have
the power to create PDF manuscripts with the right dimensions, fonts, and
layout as we see fit and can send them to POD publishers. Some POD services
will discount their fee if you submit your manuscript as a PDF, because it
means less work for them, and also means less chances for the galley to be
returned with corrections.
Along my way of trying to find the right PDF creator, I've found only three
strong contenders. One of them is a free service from Adobe.com itself, but
has limited use. The other two are shareware programs with very low
registrations and have all the features we really need.
First, if you want to make a PDF and insist on using Adobe's tools, you can
use a service available from their website. If you visit
http://createpdf.adobe.com you will have a couple options available to you.
You have to sign up for an account, but you can use their try-it-before-you-
buy-it option which lets you make up to five files for free. The other
option costs $9.99 a month for unlimited files. Basically, you upload your
file to the website, it converts it on the fly, and it then lets you download
the PDF version.
This works with many file formats, but you have no room for error if you make
a mistake. Once a file is created under the five-for-free plan, it's done
and you now have one less file allowed, and one useless file on your hands.
It can easily take five tries to get a layout right sometimes, if you are a
perfectionist; which you have to be before submitting to a POD who will turn
around and charge you to submit a corrected file. If you really want to go
this route, I'd recommend trying it for a month so at least you have
unlimited access to the server for 30 days. I give it 8 out of 10 for Adobe
making this service possible.
The second program is called PDF995 and is just one of a whole suite of
products that work together to maximize your PDF creation abilities. They
can be downloaded from http://www.pdf995.com and their chief selling point is
that they are free, but supported by pop-up ads. If you get tired of the
ads, which only appear once when you generate a file, you can pay the $9.95
registration fee. Very reasonable for everything it does.
PDF995 works as a printer driver on your Windows computer. Essentially, you
create your document and then print to the PDF995 driver instead of your
normal physical printer. There's very little setup, which makes it easy to
use, but gives little control to some features. This little catch is where
they encourage you to download PDFEdit995, also free, ad-supported, or $9.95
to remove the ads. The only option this editing tool gives you that you
really are going to want is the ability to imbed your fonts into the PDF
file.
By default, the names of the desired fonts are saved in the PDF. If the
viewer has that font on their system, it will be used. If it doesn't, a
substitution is used, usually Times New Roman for example. If you use that
font anyway, this is not a big deal. Just pray your POD service also has
your font. If you want to use fancy fonts and guarantee they are used in the
final galley for publication, download and use PDFEdit. The rest of the
tools it comes with are great but are icing on the cake for needing the
ability to imbed fonts. No doubt in my mind they designed it this way. But
hey, if you don't mind the ads, both programs are absolutely free to use.
My experience with PDF995 was great and I was all set to give it 10 out of 10
for use, until I tried to use it on my WinME computer. Previously, I had
played with it on Win2000 and WinXP with no problems and perfect output.
Then I installed and used it on my WinME PC. First, I was not allowed to
change the size of the output pages I wanted to use. As I'm trying to
generate a 5"x8" document for a POD publisher, and this is a non-standard
size, I discovered what seems to be an oversight in WinME. I also noticed
that it looked like my letters were bunched up in places; in tech-slang the
font kerning was misaligned. This could have been caused again by some
problem with WinME's print functions.
I wrote to the PDF995 support staff for answers. They wrote me back within
24 hours with a response of different things to try, but nothing has worked.
I'm still hoping to find the answers. This leads me to suggest that if you
have WinME, well you probably already are aware of some of its more annoying
quirks. Add this one to your list, but sadly this means I will not recommend
PDF995 for WinME users. Everyone else, give it a try. You'll download
probably 5 different files for the entire suite of products, but you can't
beat a price tag like FREE, or a total of $19.95 to pay the registration fee.
Because of WinME's problems with this program, I give PDF995 Suite 9 out of
10.
Finally, I discovered and fell in love with PDF-Xchange. This is another
shareware PDF printer driver, but it does everything in one program,
including encryption for securing your PDF. You can download the trial
version from http://www.docu-track.com and take a look at everything it
offers. The trial version is fully functional, but it prints a watermark of
their copyright onto any files you create. The registration fee is $39.50,
which is twice as much as PDF995 Suite, but the ease of use and complete set
of tools it offers makes it worth the extra cash.
I had no problems running this program under any version of Windows. I could
set up within the properties the exact page size I wanted, and was even able
to create a PDF that allowed printing only of my PDF. I set up security to
deny copying and pasting, editing, etc. This way, I can be assured that the
POD service is only going to be using the file for the express purpose of
printing on demand. These functions work well if you also want to create a
PDF eBook version to distribute that doesn't even allow printing and requires
a password to read it. The possibilities are endless. For ease of use and
completeness and still maintaining a fair price tag, I give PDF-Xchange 10
out of 10.
In my next article I am going to discuss a few different POD services. I
will review my experiences with them and tell you what you can expect to do
to prepare for working with them. Now that you know how to make a PDF file,
you will be ready to create the perfect submission.

Beyond Ground Zero: An Interview with J.P. McCarthy

This September marked the second anniversary of the tragic
terrorist attacks that leveled the World Trade Center and
scarred the Pentagon. The terrorists succeeded in changing
America on September 11, 2001. Our war on terrorism is a
constant topic of the news media. However, to me anyway,
it seems the focus has shifted to trying to liberate Iraq
and Afghanistan and seeking Saddam Hussein. The question
that crosses the minds of most Americans now is, "What about
Osama bin Laden, the al-Qae'da, and the Taliban?" Two years
have passed and we still don't know where bin Laden is, if
he's dead, or if his organization has more terror planned
for us.
All of these questions are expertly woven together and
answered in a fantastic tale of espionage and heroism by
author J.P. McCarthy. His first novel GROUND ZERO AND
BEYOND tells the story of forensic dental expert and Vietnam
veteran Patrick Murphy, who's called to Manhattan after the
tragedy to lead the dental ID unit in their massive
undertaking of identifying those who did not survive. What
he discovers changes his life forever as he begins an
adventure filled with danger, betrayal, and a second chance
at romance.
DS: Jim, I really enjoyed reading your novel. Thank you
for this opportunity to interview you.
JPM: Well, thanks for your interest and taking the time to
interview me.
DS: I think every American was touched somehow by the tragedy
at the Twin Towers. What was the seed for the idea behind
GROUND ZERO AND BEYOND?
JPM: Actually, I received a phone call from the FBI about 10
days after 9/11 asking me to come to NYC to help with the
identification of bodies. At that time the NYC officials were
expecting a lot of bodies and a call went out to forensic
dentists to lend a hand. As we all know, those bodies never
materialized and I was put "on call". I started thinking -
"What if?" and I devised a story in my mind where a forensic
dentist gets called to NYC... well, fill in the rest...
DS: I know a little about you from your biography, and it is
obvious from reading the novel that you brought your own
personal dental and military experience into your novel. But
how much of the lead character Patrick Murphy is really based
on you? Where are you and your alter ego different?
JPM: Many of my readers have asked this question. My answer:
Murphy in some ways is my alter-ego - but he's also different.
I was never a decorated Vietnam vet nor was I ever a famous
forensic dentist who worked on the Ted Bundy case. Any writer
will tell you that they write about things they know - I guess
I took my military and dental forensic experiences and used
them in the novel.
DS: Murphy's background is filled in by explaining his work
on two very high-profile, very real serial killer cases. This
adds to the realism of the story and builds up the character
for us without having to read chapters just on his history.
What motivated you to pick those two cases, and what experience
do you have with forensic investigation?
JPM: Remember that Murphy is a world famous forensic dentist
and he travels around the world talking about his experiences.
It was obvious to me to use the Ted Bundy and Jeffrey Dahmer
cases, because Bundy's bite eventually convicted him. Dahmer
was from Wisconsin and Murphy is the Wisconsin State's dental
forensic person. By the way, I knew the dentist who worked on
the Bundy case. My experiences are limited, but I was extensively
trained by the Army at Walter Reed Army Medical Center in
Washington D.C. in the late 80's. I'm currently on the Eau Claire
Wisconsin Police staff and can be called in if they need a
forensic dentist. Eau Claire has a very low crime rate, so in
one respect I'm glad I haven't been called in yet - but I'm ready
and able if the call comes.
DS: It's been my experience with other tales of espionage, which
I'll admit is limited to movies and TV, that they rely on slick/sexy,
high-tech, and over-the-top bravado. Your characters and situations
do not resort to this. Also, your book is neither preachy about
religion (Islam vs. Christians and Jews), nor dripping with
patriotism. Was all of this intentional, and did you ever find it
difficult to accomplish this?
JPM: Good question. I wanted the book to be as real as possible.
The book is based on a lot of hard facts. These are real events
with real people, not some superhero trying to impress. I feel
it would be a crime against history if I ever changed the real
facts. I took what happened and applied my own story - which by
the way could have happened and maybe did happen.
DS: If I may ask, how much of your wife is there in the female
lead character Marion Masterson? How does she feel about her
portrayal throughout the book?
JPM: Only her first name. My wife is nowhere near the character
of Marion Masterson - although when I picture Marion Masterson, I
see my wife. She's short, cute, dark haired, and has a page-boy
haircut.
DS: Besides these two main characters, you blended great detail
of facts about real events and people (especially two of the
hijackers) into the story. How much research did you have to do t
o make sure these depictions were faithful to those involved?
JPM: I did a lot of research on the Internet and reading eyewitness
accounts of the event. I tried to put myself into the terrorist's
shoes the night before the attacks. I don't think anyone can really
do this - but I tried and feel that I succeeded somewhat on how the
terrorists felt and why they did what they did. They did have reasons
for slamming planes into the World Trade Center and it depends on
what side you're on whether you agree or not. I believe it was a
horrific act, but Americans need to understand why, so that they can
defeat them in the end.
DS: How long have you been writing, and is this your first work of
fiction? What else have you written?
JPM: I've been writing since my second year of college. I started
out as a reporter for my college newspaper and graduated to Sports
Editor my 3rd and 4th year. Since graduating from college I've
written for several automobile newsletters and national magazines,
including the Robb Report and Victory Lane Magazine. In 1991, I wrote
a non-fiction work entitled, VINTAGE RACING, START TO FINISH - which
was about how to get started in the sport of racing old classic sports
cars like MGs, Porches, Alfa Romero's, etc. The book was a success
because I sold out my first printing (about 2000 copies).
DS: Is there any other genre that you have thought about tackling
next? I understand that we can expect the sequel, MURDER ON THE
GREEN, will deal more with solving a murder case based on dental f
orensics. Will this tie back into more of Murphy's past cases?
JPM: I like writing mysteries/thrillers. Yes, the sequel is set
in Dublin, Ireland and is a continuation of GROUND ZERO AND BEYOND.
Murphy has to deal with a serial killer and the revengeful son of
Osama bin Laden. I also have some interesting "Irish" characters.
I've often thought about writing a story about my dad, who grew up
poor in Boston and was a POW of Japan during WWII. He was an
interesting character and I miss him dearly. I mention him in my
book. He was a true American hero.
DS: Do you still work at a dental practice, and what do your patients
think of your writing? Is writing taking over more of your time?
JPM: Yes, I've been working in the dental field for almost 25 years -
Wow, has it been that long? My patients have been very supportive of
my writing. I don't talk too much about my book, but when someone
comes in with a book in their hand to read while I work on them -
well, the conversation usually ends up talking about books. I ask
whether they heard about my book and give them info about where they
can get it. As you know, word of mouth is the big promo item to having
a successful book - so I ask my patients if they like the book to be
sure to tell their family and friends about it.
DS: I also enjoyed your Three-Ring Circus article you wrote for the
Self-Published Authors newsletter, and I can relate as I too have
chosen to walk that tightrope of POD publishing. Did you submit your
manuscript to traditional houses (the elephants of that grand circus)
before deciding to self-publish? Did you have an agent?
JPM: I tried to go that route, but found it frustrating and time-
consuming. After a few tries, I decided that my book was timely and
needed to get out there ASAP. In my heart, I feel this book will sell
and will be successful. Then I can go to a traditional publisher
(elephant) with a proven track record and say, "Well, let's go i
nternationally with it!!" That's my long-term goal.
DS: Do you travel often to promote your book, or focus on other means?
Where was the most exciting place you've been on tour?
JPM: I haven't been out much promoting the book. I've stayed in the
Eau Claire, Wisconsin area (Upper Mid-West). I did go down to Athens,
Georgia for a Harriette Austin Writer's Conference ( I was one of the
guest speakers on forensics) and I did a little promo and felt the book
was received very well. Right now, I'm focusing on building a "base of
support" by working with my publicist, Jennifer Hollowell, developing
my website and using the Internet to spread the word.
DS: How do you define "success" and would you consider yourself to
be successful so far as a writer?
JPM: To me I'm very successful, because I feel my writing first of
all gives me pleasure. If I can entertain others, then that's icing
on the cake (don't you hate clichés). I enjoy playing with words and
describing settings and developing characters. It is fun and challenging.
DS: Is there anything in particular, an author or favorite book that
influenced and inspired you?
JPM: I like reading anything by Patricia Caldwell and her Kay Scarpetti
novels. Caldwell uses a medical examiner in her fictional works. I'm in
the process of developing a readership that enjoys reading about dental
forensics. James Patterson also interests me. I like the mystery/thriller
genre.
DS: What would you say has been the hardest part of writing? Has getting
published been harder for you than writing?
JPM: No doubt that getting published and getting the book out there is
the hardest part of writing. Any writer will tell you that writing the
book is the easy part; what's hard is promoting it since there's so much
competition out there. It's too bad that publishers don't give more of
their time to the unknown writer. I bet there's a lot of excellent
writers and stories just waiting to be discovered. But you need to
understand that publishing is a business and most publishers go with an
established writer before they would ever consider the works of an unknown.
DS: Do you have any advice for other aspiring authors?
JPM: Get a good publicist, believe in yourself and never give up!!!!! I
know - clichés again - but very true!!!
DS: Yes, but that's what makes them a cliché; they are essential truths
and advice we can all use. I am most definitely looking forward to your
second novel featuring Dr. Murphy, MURDER ON THE GREEN. I wish you all

Online Promotion Beats Traditional Seven-One (Part 2)

Online Marketing Can Produce 7 times your Profit in Just Five
Months
Now that you see the limitations of traditional book marketing,
such as speaking to groups and press releases, you may be ready
to increase your book sales seven fold by submitting how-to
articles to online ezines where thousands a day will see your
message and visit your book-selling site.
Rather than a shot gun approach, I suggest you use this one
favorite and highly successful Online marketing technique. This
one approach increased my own second Web site sales more than 7
times in five months, from $75 in August to $2265 in December.
In 2002, the sales soared to $3000 a month. Today my sales are
consistent and bring in one half of my online income. And, this
is just the beginning!
Whether you have a Web site or not, you can apply your writing
ability to produce short information-packed articles to submit
to hundreds of Online ezines, whose readership of thousands,
even hundreds of thousands, will read some of your articles you
submit. These online small business people want to know more
about your subject, whether it be how to raise parrots, or how
to write a book, or how to write a Web site with marketing
pizzazz.
Since you will include your signature box at the end of each
article with your book title, your email address, free offer,
and benefit statement, people can get in touch with you and
possibly become buyers. After reading seven or so articles
readers are likely to buy.
From my own first week's experience after subscribing to several
opt-in ezines such as:

aageneral-subscribe@yahoogroups.com,
aainet-subscribe@yahoogroups.com,
article_announce-subscribe@egroups.com
I got ten or so responses from other publishers and Web site
owners asking to post my ezines in their format. Talk about e
xciting. My ezine subscribers to "The Book Coach Says..."
increased ten to fifteen after each article submission.
You can also submit your how-to articles and tips to top Web
sites who want your material.
These articles help promote your business services too. If you
are a coach, consultant, professional speaker or other small
business person this method helps attract more clients than you
ever dreamed of. From my own experience, my clients doubled to
14 in just one month.
When you have written a well-constructed article, giving real
information and how-tos, you will attract these potential buyers
and clients who will eventually end up on the Web sites where
you sell your books.
Getting Started
First, create five to ten articles from 500-900 words, possibly
excerpted from your book, or how-to's on your subject. Write
several articles and submit one or so a week. I started submitting
to only five ePublishers of the opt-in ezines. Even in the first
week, several publishers used my article "Sell More Books with a
Powerful Back Cover." At the end of the article, I put a link to
a product "How to Get Testimonials from the Rich and Famous" in
my signature box, bringing increased sales.
Join the Online Revolution by subscribing to several opt-in
ezines. As soon as you subscribe, you'll receive one or more
articles a day. Take time to read some of these articles to educate
yourself about all topics that will boost your business success.
See what format and content they use.
This Online business marketing research is gold, because you will
now be able to model your articles after successfully published
ones. Now just start submitting so thousands can learn from you
too.
Invest in Some Promotion Time
While we need promotion, how much time do we actually put into it?
At first I had a learning curve that took me 12 hours a week. I
learned from a techie assistant I hired from a local high school.
Now my assistant does most of this work and I spend only 5-7 hours
a week creating the articles she submits.
The usual promotion investment for big results is 90% of your time.
With Online, it's far less, and you'll even have time for a long-
needed vacation to some Caribbean island.
For Online promotion you will want to check resources on how to
write a publishable article and other tips to make publishers accept
them. Check out a book coach, read writing ezines, and take a
teleclass such as "Promote your Business and Books with Free
Articles."
Online Promoting is Easy, Convenient, and Profitable
Better than press releases, book reviews or book signings, you can
create and promote articles conveniently right from your office or
home. Give this a method a chance. You'll only be sorry you didn't
do it sooner!
